Send images in text messages to customers*

Using the SMS Text Messaging window or the Message screen in the ReyText app, you can now include up to 10 images in text messages sent to customers. In addition, images on the SMS Text Messaging window can be previewed using the Expanded Image Editor window. Display data in graph format

Reports and list boxes throughout ERA-IGNITE have been enhanced to allow you to display data in graph format. Using the new Select Data for Chart window, you can define the data to include on a graph and can customize the graph to display as desired. Once the graph data is defined, you can review the graph using the new Chart window. For more information on how to display reports or list boxes as graphs, see pgs. 6-9 in the 32.25 Program News.

New option to stay signed on to dlrSecured

A new option is available to allow you to stay signed on to dlrSecured Identity Management after closing all windows in ERA-IGNITE. While you remain signed on to dlrSecured, you can close and reopen ERA-IGNITE without signing on again.

Authorize actions using dlrSecured

When authorizing actions for other employees, you must now use your credentials for dlrSecured Identity Management. To authorize an action, simply click the “Sign in with dlrSecured” button on the redesigned Password Override window and then enter your dlrSecured credentials as you would when signing on to ERA-IGNITE.

Identify dlrSecured administrators using new column

System administrators can now identify employees assigned the enterprise admin role using a new column on the dlrSecured Identity Management website. When an employee is assigned the enterprise admin role for dlrSecured, Administrator displays in the new “Administrator” column on the User Search screen.

Increased security when installing Software Manager

ERA® Software Manager is now installed using a signed executable for increased security. When installing the SMGDownload.exe file, you are now prompted to enter the hostname or IP address for the server on the Select Server window.

Add credit card surcharges to ReyPAY® transactions*

You can now add credit card surcharges to ReyPAY transactions processed by Worldpay to help cover the cost of processing credit card payments. Using new options on the Additional Specs tab on the ReyPAY Specs window in the Accounting Specs application and the Service Specs application, you can define settings for surcharges, including the amount to charge, the minimum invoice amount required for surcharges to apply, and the departments where surcharges can be added. Collect charitable donations with ReyPAY transactions*

You can now collect charitable donations from customers when accepting payments processed by Worldpay using the credit card terminal. Using new fields on the Worldpay Specs tab on the ReyPAY Specs window in the Accounting Specs application and the Service Specs application, you can define settings to allow customers to enter a custom amount to donate or to select from predefined donation amounts.

Multiple enhancements available for parked calls in the RITS Operator Console

New options in the RITS Operator Console are available for you to park calls into specific parking lots. Parking lots can now be set up for each store, department, or even individual phone stations, and you can retrieve calls by dialing either the new primary extension for the parking lot or the specific extension where the call is parked, as normal.

Assign parking lot groups and define hold music settings for parked calls

New Parking Lot Group fields and options are available in the RITS Administration Console to allow you to assign parking lot groups to phone stations and customize the hold music for parked calls. For more information about the new parking lot feature, refer to page 22.

New options available for parking calls on any RITS phone

New options can be used on any RITS phone to park calls into a specific parking lot. Parking lots can now be set up for each store, department, or even individual phone stations, and you can retrieve calls from a parking lot by dialing either the new primary extension for the lot or the specific extension where the call is parked, as normal.

Sign on to the MyRITS app using dlrSecured

To sign on, simply enter a User ID that is enrolled in dlrSecured in the User Name field and tap anywhere on the screen or tap the new Sign In with dlrSecured button on the MyRITS Login screen. The Enter Your Password window or the Enter Your Email User ID window displays, where the dlrSecured sign-on process can be completed as normal.

Biometric authentication is now available for the MyRITS app

The new biometric authentication feature is now available for you to sign on automatically and redisplay the last screen you accessed in the MyRITS app. Using biometric authentication, you can verify your identity using the facial, fingerprint, or iris recognition features on your cell phone. For more information on how to utilize biometric authentication, see pages 28-30 in the 32.25 Program News.

The Ad Hoc window has been updated to include the Texts w/Media column, which displays the number of text messages that included an image sent by each employee included in the count.

Reports

New versions of various F&I reports now available

Enhanced versions of five F&I reports can now be requested in the Retail Management Intelligence application. With these new versions, you can schedule the reports to process and print automatically. To access the new versions of the reports, select the appropriate option in the Reports ->F&I/Desking menu. For more information, see pgs. 32-34 in the 32.25 Program News.

Security Maintenance

Grant access to ReyCom messaging using a new security item

When you grant an individual employee access to ReyCom messaging using this security item, the employee can access ReyCom messaging on all available stores and branches. You can also use this security item to grant all employees in a user group access to ReyCom messaging.

Schedule the User List by Security Item report

The User List by Security Item report can now be scheduled to process and print automatically. To schedule the report, enter report criteria as normal and press the F4 key.

Review dlrSecured settings for employees

Using the new dlrSecured Identity email field and the new dlrSecured Identity Link field, you can review whether an employee has an Email address defined for dlrSecured on the Basic Profile screen and whether the employee can sign on using dlrSecured.

New CAI courses available for cybersecurity

Information Security CAI courses are now available for employees to help them learn how to protect dealership data from cybersecurity breaches and asset theft. These courses are designed to educate your employees on information security best practices to help meet the FTC Safeguards Rule requirements.

Use function keys to navigate through CAI courses

Various CAI courses for the Names application, the Parts application, and the Accounting application have been updated to allow you to use function keys rather than the mouse to proceed through interactive simulations. The first time you are instructed to press a function key in a course, you must use the function key rather than the mouse to proceed.

Integrated Document Management

Multiple enhancements available for the Scan Audit Integrity report

Using this report, you can now review accounts payable (A/P) checks that have not been scanned in the Integrated Document Management Scanner application. In addition, new criteria are available when requesting the report for SVCRO or SVCINV document types, allowing you to monitor service documents based on the date a repair order was closed, specific customers, or specific departments. For more information on this enhancement, see pgs. 45-46 in the 32.25 Program News.

Verify documents to be dropped using a new report

System administrators must now request a “drop report” before performing an IDM drop. This report displays documents that will be deleted from the IDM Server when the next drop is performed. Once the report has been requested, report information can be verified and the documents can be dropped from the server. For more information on this new report, see pgs. 47-48 in the 32.25 Program News.

Import estimates and pricing from MyPriceLink using enhanced window*

You can now use the MyPriceLink interface to import Ford, General Motors (GM), or Mercedes-Benz estimates and parts pricing from the OEConnection MyPriceLink web site directly in the Parts application. Using new options on the MyPriceLink Import window, you can search for open estimates to include on invoices, repair orders, and price quotes. For more information, see pgs. 49-50 in the 32.25 Program News.

Automatically retrieve vehicle information for BMW vehicles*

The Service Process Access for Retail Clients Vehicle Status Inquiry interface is now available to help you review up-to-date information for BMW vehicles from the manufacturer, including open campaigns, applicable warranties, and service contract information.

Enhancement to ReyText License Agreement

The End User License Agreement (EULA) now displays on the ReyText License Agreement screen when an employee signs on to the ReyText app for the first time. The ReyText License Agreement screen also automatically displays when an employee signs on to the app for the first time after the EULA has been updated.

Updates to Reynolds Terminal Server host names

When the MyRITS app is updated to version 2.75 for iPhone or version 2.21 for Android phones, any legacy Reynolds Terminal Server (RTS) host name entered in the RTS Host field on the MyRITS Settings screen is automatically updated to display as rX.m.reyrey.net, where “X” is the server name associated with your dealership. New MyRITS users will always enter the host name in this format.

Control employee switch toggling in MyRITS app

You can now control whether employees can toggle the RITS Call Twinning switch and the RITS Call Forwarding switch in the MyRITS app. To grant an employee access to modifying the call twinning and call forwarding settings, select the RITS Desktop Application → Actions → Manage Twinning/Call Forwarding Settings check box on the Security Access screen in the Security Maintenance (SEC) application.

Change the date of unposted transactions when performing EOM tasks

When performing end-of-month (EOM) tasks, you can now update the date of unposted integrated repair order transactions and parts transactions to use the first day of the next open month.

Automatically cancel transactions using additional bank transfer codes

Additional bank transfer codes are now supported for the electronic bank reconciliation process. When a transaction that uses one of these codes is imported using the Transfer Bank Transactions screen, the corresponding transaction in the Accounting application is canceled.

Specify the service branch number for individual ReyPAY payments*

At dealerships where the same bank code is used for cash receipts at multiple service branches, you can now specify the service branch number for individual ReyPAY transactions. Using this enhancement, you can determine which ReyPAY payments were processed for each service branch, which can help you reconcile credit card transactions. For more information, see pgs. 120-122 in the 32.25 Program News.

Automatically process online payments made using ReyPAY*

When an accounts receivable (A/R) customer makes an online payment using ReyPAY, the payment is now automatically processed in the Accounting application. Online payments made using ReyPAY are now automatically authorized, the Name ID number for the employee associated with electronic A/R statements is automatically entered, and then the deposit is automatically closed.

New control numbers on the Accounting Adjustments Edit Listing screen

You can now review the Name ID numbers and names associated with transactions using the new Name ID column and the new Name column on the Accounting Adjustments Edit Listing screen. These columns display information based on the entry in the Name ID field on the Accounting Adjustments screen or the Additional Entries window.

Create centralized intercompany entries when uploading accounting data

To automatically apply intercompany entries to transactions uploaded using the selected file format, select the new Apply Centralized Intercompany entries check box on the Define Upload Accounting Data screen. Once this check box is selected, intercompany entries are automatically created when uploading transactions.

Payroll

New report to monitor changes to employee Name File records

The new Payroll Change Audit Inquiry report is now available for you to review which employees made changes to payroll data that may affect an employee’s paycheck calculations, direct deposit information, and paid time off. Updates to employee payroll information made using the Employee tab, the Payroll tab, and the Taxes tab on the Employee Maintenance screen, as well as changes made using windows accessed from these tabs, are included on the report.  For more details on this new report, see pgs. 129-131 in the 32.25 Program News.

Define a shared maximum amount for benefit and deduction codes

Using new options on the Ded/Inc/Ben tab on the Employee Maintenance screen, you can now link benefit and deduction codes that are subject to a combined maximum dollar amount for an employee. For more information, see pgs. 132-134 in the the 32.25 Program News.

Manage payroll division settings in ERA-IGNITE

The new Division Maintenance screen is now available for you to manage payroll division settings directly in the Payroll Specs application. To access the Division Maintenance screen, select Functions ” Division Maintenance 1292 or click the Division Maintenance (1292) link on the PAY Specs main page.

Define new alerts for paycheck approval

Using the Paycheck Approval Alert Setup screen in the PAY Specs application, you can now define additional alert notifications to help you identify potential fraud. These alerts display on the Paycheck Approval window in the Payroll application, as normal.

Automatic selection for intercompany entries

When creating a centralized intercompany entry on the Vehicle Sales screen, the Repair Order Sales screen, the Parts Sales screen, the Accounting Adjustments screen, or the Payroll Accounting screen, the payable general ledger (G/L) account or receivable G/L account is now automatically selected based on the prefix.

Assign Name ID numbers on Accounting Adjustments screen

When posting transactions on the Accounting Adjustments screen, you can now assign Name ID numbers as control numbers to multiple adjustment details at once. To assign a Name ID number to multiple adjustment details, press the CTRL key and click the unlabeled Row Select field for each row to update.

Select specific invoices in ReyPAY

When accounts receivable (A/R) customers make an online payment using ReyPAY, they can now select the specific invoices to which the payment should apply.

Renamed section in Floorplan Report

The Date section on the Floorplan Report screen has been renamed the Vehicle Delivery Date section to more clearly indicate the date range entered for the report is based on the vehicle delivery date.

Expanded List Price and Amounts fields

The List Price field and the Amount field on the Vehicle Purchases screen have been expanded to allow list price and floorplan amount entries up to 9,999,999.99 for vehicles with a price over $1,000,000.

Names

Updated window when deleting consumer data

The message window that displays when you attempt to delete consumer data on the Profile tab has been updated. This window now more clearly indicates that deleting consumer data is permanent and that the Reynolds and Reynolds Technical Assistance Center (TAC) should be contacted before deleting consumer data.

Time Clock

No Payroll Required feature now available

At dealerships where the Payroll application is not used to complete payroll tasks, the new No Payroll Required feature is now available for you to add employees to the Time Clock application using a more streamlined process. For more information on the No Payroll Required feature, contact the Reynolds and Reynolds Technical Assistance Center (TAC).

Sales and F&I

F&I/Desking

Automatically enter buy and sell rates based on deal information

Managers can now define multiple rate tiers for financial institutions that can be used to automatically enter buy and sell rates on deals. As deal information is added or updated, the buy and sell rates are automatically updated based on the rate tier matching the deal information. For more information, see pgs. 55-59 in the 32.25 Program News.

Set up F&I managers in multiple branches for DEALsign*

To set up a manager to use DEALsign on multiple branches, access the eSign Dealer settings screen in the Finance and Insurance Specs application for the additional branch and enter their Name ID in the Employee # field. While the majority of fields will be automatically filled out, update the email field with a unique email address for the manager. Press F12 to save changes, and the F&I manager will be able to complete deals in DEALsign for multiple branches.

Define access for including incentives and adjustments in gross payable calculations

You can now control whether employees have access to include or exclude incentives and adjustments in gross payable calculations on deals. Using a new security item in the Security Maintenance application, you can determine which employees can update the Exclude Incentives from Gross check box and the Exclude Adjustments from Gross check box on the Recap window in a deal.

Delete eSign forms from the Forms Maintenance screen

Managers can now delete eSign forms using the Forms Maintenance screen in the Finance and Insurance (FIN) Specs application. Previously, these forms could only be hidden. For more details, see pgs. 66-67 in the 32.25 Program News.

Several enhancements are now available to help you complete deals for vehicles added in the Vehicle Management application with a manufacturer suggested retail price or a selling price of at least one million dollars.

The Vehicle History/Log report can now be scheduled to process and print automatically. To schedule the report, enter report criteria as normal and press the F4 key. The Job Scheduler Maintenance window displays, where the process frequency and print settings can be defined. Press the F12 key to save the changes and close the window.

Review generic color and title brand on the Book of Record report

Using the Book of Record report, you can now review the generic color and the title brand for a vehicle. The generic color displays in the Vehicle Desc Info column, and the title brand displays in the Title Info column on the Book of Record Report screen.

docuPAD® System

Sign on to the docuPAD Workstation using dlrSecured*

You can now use dlrSecured Identity Management to sign on to the docuPAD Workstation. When a user name that is enrolled in dlrSecured is selected on the Available Users window, the Enter Your Password window displays, where the dlrSecured sign-on process can be completed as normal.

Define number of days before DEALsign form packages expire*

You can now define the number of days (up to 14 days) that DEALsign form packages can remain incomplete before expiring. For more information on this feature, contact the Reynolds and Reynolds Technical Assistance Center (TAC).

Using a new window in the service Specs application, you can define the text message notifications to include specific customer and dealership information, such as the customer name, the vehicle model, the dealership department name, and the department phone number. Managers can now assign a default sale type to ERA operation codes using the Service Operation screen in the Service Specs application.  For more details, see pgs. 83-85 in the 32.35 Program News.

Change the department for appointments with operations*

You can now change the department for an appointment from quick-service to service, and vice versa, for appointments with operation codes already added. To change the department for an appointment, simply access the appointment on the Appointments screen and select the new department in the Dept field. Then press the F12 key to save the changes.

Automatically send follow-up emails for customer pay work*

The Service Follow-up Email template is now available for the ConsumerReach Plus application. Using this template, managers can define emails to be automatically sent to customers. For more details on automatic follow-up emails, see pgs. 88-90 in 32.25 Program News.

Display complaint statements on the Service Portal website

A new option is available in the Service Specs application to allow you to display descriptions for all operations on the Service Portal website. Now, you can use a new check box on the Service Portal Web Enabled Operations screen to indicate that the default complaint statement should display for operations on the Service Portal website.

Identity verification now available for the Service Portal 2.0 website

Identity verification helps to verify the customer’s identity when signing on to the Service Portal 2.0 website by requiring a customer to enter a security code to confirm the customer is who he or she claims to be. The security code can be sent to the customer’s existing contact information, such as a personal cell phone or email address.

Enhancement to Service Portal Navigation bar

A Back button now displays in the Navigation bar on Service Portal website, allowing you to navigate to the previous screen without clicking the Menu button.

Change in requirement for appointments in Service Portal

Customers are no longer required to enter the vehicle trim level when adding an appointment using the Service Portal website.

New Refresh Repair Order button in Service Portal

Customers can refresh the status of their vehicle’s repair order using the new Refresh Repair Order button on the Vehicle Information screen on Service Portal website. A timestamp indicating the date and time the status of the repair order was last refreshed now displays above the Refresh Repair Order button.

Identity verification now available for the eApproval website

You can now customize the customer-facing SMS text message notifications that are automatically sent to customers for special order parts. Define settings for make codes and the ABC Sourcing feature

Two new screens in the Parts Specs application are available for you to maintain settings for make codes and the ABC Sourcing feature. Using the new Makes screen, you can define default settings for make codes, such as parts sources and whether part numbers should be entered without dashes. For more details, see pgs. 108-110 in the 32.25 Program News.

Update ABC Sourcing directly in ERA-IGNITE

The new ABC Class Update window is now available for you to update the ABC class code assigned to parts using ERA-IGNITE. To access the ABC Class Update window, select Tools → ABC Class Update 2105.

Receipt parts for multiple repair orders at once

The Receipt Parts on Repair Orders window has been updated to allow you to receipt special order parts for multiple repair orders at one time. When you access the Receipt Parts on Repair Orders window for a parts order, each repair order associated with the order now displays in the Repair Orders section.

Relocation of Document View menu*

The Document View menu option has been relocated from the Functions menu to the Display menu. This enhancement is only available if the Integrated Document Management application is licensed.
